Policy regarding student-body-wide e-mail announcements

The College of Law’s practice regarding email communications with students has resulted in students receiving a large number of individual emails, both from College of Law departments and from student organizations. Due to the volume of e-mails, some students’ e-mail systems treat all messages from the College of Law as spam, and many other students find it difficult to keep up with all of the messages.

In order to resolve this problem, to the extent possible, all e-mail communications directed to the student body as a whole, or to particular class years, will now be consolidated into a single weekly e-mail newsletter sent by College of Law Communications Director Jim Hellegaard. Jim will send out the newsletter each Tuesday morning.

In order to have an announcement included in the e-mail newsletter, College of Law departments and student organizations must fill out the on-line form, located here:  http://law.gsu.edu/newsletter.  The message can run in the newsletter for multiple weeks if you so indicate on the form. The deadline for submission of an entry is 5 p.m. each Friday.

The first newsletter will come out on Tuesday, August 5, 2008, and the deadline for inclusion in that newsletter is Friday, August 1, 2008.

Students are responsible for the information contained in the e-mail newsletter, which may include, for example, important information about class registration.

The e-mail consolidation policy applies to all student organizations and most communication from College of Law Departments.  There is an exception to the e-mail consolidation policy for messages that are truly time-sensitive, where there is good cause for not meeting the deadline for inclusion in the newsletter. Forgetting about the deadline or deciding to hold a meeting at the last minute is not good cause and will not justify a separate e-mail being sent to the student body.

Announcing an event in the newsletter does not equate to a room reservation. If you want to reserve a room for your event, you must fill out the on-line room reservation request form, at http://law.gsu.edu/events/add_event.php.

For a student organization message to be included in the e-mail newsletter, it must announce an event sponsored by a student organization that is open to all students, new officers or members, or competition results. If a meeting or event is only open to members of a student organization, the organization should use its own e-mail mailing list rather than the newsletter. In addition, the newsletter should not be used to make political statements about policies favored or opposed by a student organization or to announce opportunities to donate to causes favored by your organization.

The newsletter is intended for noncommercial purposes. However, commercial enterprises with law student representatives, such as companies providing bar exam preparation courses, may have one announcement in the e-mail newsletter each semester.
